What Are Keywords?

In KiDig, a keyword (Schlüsselwort) is a tag applied to a calendar day that tells the system how to treat that day for time and leave calculations. When a keyword is set, it typically overrides any manually entered time intervals for that day.

How Keywords Affect Calculation

When a keyword is applied to a day:

  1. Time intervals are ignored. Even if an employee has logged hours, the keyword takes precedence.
  2. Target hours are credited (for most keywords). The employee's daily target is counted as fulfilled, so no undertime accrues.
  3. Leave balances update. Keywords like Vacation and Regeneration Day automatically reduce the employee's remaining entitlement.

Exceptions

  • Sabbatical sets the target to zero. The employee is not expected to work, and no hours are credited.
  • Half-day vacation credits only 50% of the daily target. The employee is expected to work the other half.

Setting Keywords

  • Employees can report sick days or submit vacation/leave requests (which generate keywords upon approval).
  • Admins can set any keyword directly on the day view for any employee.
  • Automated keywords: Public holidays are set automatically based on the facility's federal state. Facility closed days (Schließtage) also generate vacation keywords automatically.

Important Notes

  • Keywords applied via approved vacation requests cannot be removed by editing the day directly. The vacation request must be cancelled first.
  • When a keyword and a manual entry conflict, the keyword always wins. Remove the keyword to make manual entries effective again.
  • The monthly overview clearly marks each day with its keyword, so managers can quickly see the breakdown of worked days, leave, and absences.
